How We Work

Please take the time to read through the notes below to guarantee that we have a successful working relationship. If you have any questions or concerns, please contact us. We encourage communication! If there is some way that we can improve, please tell us.

Your hours

Clients choose how many hours they would like to purchase each month. We know that sometimes it’s hard to predict how many hours you will use. If you get busy and don't use as many hours as you were expecting to, we've built in some wiggle room. Your purchased hours expire 60 days after your invoice is sent, so if you don't use your hours in the month they can roll into the next month. Rest assured, we are always ready with project suggestions (and reminders!) to keep your hours from expiring. MOCA Business Services has a custom project management system where we track your hours and projects. We are currently working on making our project management system client-friendly, so that you can sign in and view what projects we are working on, what purchases you’ve made, and how much time is spent on each task. If you need a monthly report on hours in the meantime, please let us know.

Turnaround time

Emails are answered within 48 hours during business days. The typical turn around time for a project is 3-4 business days, depending on the nature of the project and providing that all information is clear and present. When a delay does occur in completing a project, it is usually because login information was not provided or was incorrect, instructions were not adequate, or the project was much larger than anticipated.

We have specifically set a longer project duration so that our work can be inspected for mistakes before it's sent back to you. This process ensures a successful working relationship! If you have a specific due date that a project needs done by, please ask if the date can be accommodated. Normally, this is not a problem unless it becomes a consistent request. Scheduling phone calls

Unlike full-time personal assistants, we cannot be available to hop on the phone at any time and we do not receive text messages. Most of our communication is done through email.  However, each client does have the option to setup a free, 15-minute check in call once a month that can be scheduled through our online calendar system. We assure you - we are very communicative! We just have particular outlets that we channel our communication through to make sure that our systems are organized and you are getting the best possible service from us.

Outside project management systems

We use a custom project management system where we track your hours and projects. We are currently working on making our project management system client-friendly, so that you can sign in and view what projects we are working on, what purchases you’ve made, and how much time is spent on each task. Because of the way that our team works, we try to avoid outside project management systems such as Asana or Trello - it duplicates our efforts and makes information difficult to find. Of course you are welcome to use the systems to keep yourself organized, but when you are submitting projects to us, we prefer that you do so through one of our delegation options.

We don't tolerate rudeness.

It's silly to have to say it: we do not tolerate rudeness. We will always treat you with respect and we expect you to do the same. Thank you in advance!

  1. This form is not meant to prompt a phone call. The goal is to put all of the information that we need in this form so that we can go in and fix the problem as soon as possible without additional coorespondence. If we need more information than what is provided, we will email you to collect it.
  2. This form does not gaurantee an immediate response. However, we will be on it as soon as we possibly can, we promise. This form guarantees that your project is prioritized as soon as we are available!

Why don’t you do urgent work? 

Our typical turn-around time for a project is 3-4 business days. Our business services are designed to make life easier for everyone, including us! We want to make sure that you get quality work and in order to do that, we need a 3-4 day turnaround time. This ensures that our editor and managers can look everything over before it goes back to you and limits mistakes. And then everyone is happy! We understand that running a business comes with a lot of pressures and if you feel that you need someone on your team who is available for immediate action on projects, please contact us and we will see if we can direct you to someone who might be able to help in addition to our services. We are happy to help you expand your team so that everything you need is covered!
