One thing I want to emphasize right away is that I really encourage COMMUNICATION! If there is some way that I can improve our working relationship, please tell me. The first month of working with a VA is always the most difficult because I am learning how to be you! That’s not an easy feat – you’ve been “you” your whole life. Sometimes it feels like a lot of work in the beginning, but keep in mind that once our working relationship matures and I get your systems down, you literally never have to do the work again. It’s a great feeling!

SO – if you are having any struggles during this first month, please TELL ME instead of calling it quits. I want to help! Delegating is a hard thing to do, but it will make your life so much easier once you get past that initial bump, and that is the very reason that I started this business. I love helping people like you succeed!

Your purchased hours expire at the end of the month. Please pay your invoice by the 1st of the month so that there are no hold-ups! I know that sometimes it’s hard to predict how many hours you will use. Don’t worry! I am happy to be flexible with you:

I’m Out of Hours!
During our check-in calls, we will talk about a plan for the upcoming month. If your priority is to stick to your budget, we will make your hours stretch through the month. If your priority is to complete the projects regardless of how much time they take, then we may go through your package more quickly. In that case, you have the option of purchasing individual hours at $30/hour to get you through the remainder of the month. Then, before your next purchase, we can reexamine which package size is best going forward.

Leftover Hours
Don’t worry – this is almost never a problem! I send plenty of reminders to make sure that your hours are used up before they would get a chance to expire. As long as your communication is timely, we won’t run into any issues!

How Were My Hours Spent?
When I began business, I had a custom project management system built for the back end of my website to make sure that your hours are always tracked and your projects never fall through the cracks. I know that it’s always good to know where your money went, so I’ve recently made my project management system client-friendly! Sign in here and see what projects I’m working on, what purchases you’ve made, and how much time is spent on each task.

The preferred method of contact is by email, but occasionally I may ask to set up a phone call to go over details on a project. Please try to be thorough and clear in emails to cut back on time spent. Extensive communication will be taken out of purchased hours.

A free 15-minute check-in call is provided every 30 days if desired. If our monthly check-in calls go over 15 minutes, the extra time will be charged to your package.

You may schedule a call through my calendar at ANY time to check in, go over projects, or anything may you need! Many of my clients prefer to have biweekly or weekly meetings, and I am happy to accommodate. Any meetings that fall between the monthly check-ins will be charged to your package.

I will respond to emails as quickly as possible. I check in with my inbox once every weekday, so at the very least, your emails will be answered within 24 hours, weekends excluded.

Projects are typically completed and returned to clients 2-3 days after they have been sent. If you have a specific due date that a project needs done by or something that came up unexpectedly, please ask if the date can be accommodated. Normally, this is not a problem. However, please note that I do have other clients, so any notice of projects is appreciated!

When a delay does occur in completing a project, it is usually for one of the reasons listed below. Please ensure that all of these are sorted out to keep the project running smoothly:

  1. Login information is not provided or is incorrect
  2. The instructions provided are not adequate
  3. The project is much larger than anticipated
  4. This one is never the client’s fault but is important to be aware of: some sites require verification even when the login information is provided. Those will be sent to your email and/or phone, and I will need those sent to me as soon as possible.

Please note that you may receive email notifications of someone logging into your account, warning you that if it wasn’t you, you may have been hacked. I know this can seem alarming, and you are welcome to email me about it, but most likely it was me 🙂 I travel around a lot, so the notices come from different cities or countries. But I will be logging into your accounts to complete our projects!

I love the flexibility of my job, and I try to have a few boundaries with my clients to keep my personal and professional life separated. Please note the following preferences:

Texting
My clients do NOT text me unless it is an absolute emergency. Communication is done through email or a scheduled call.

Meetings
I do not accept phone calls that are not scheduled. Sometimes, if there is something urgent, you can set up a call the day of, but I prefer to always have phone calls scheduled through my scheduling system ahead of time.

Thank you for respecting these boundaries, and I will do everything I can to respect your business and personal preferences as well!

I strive towards producing great, quality work. However, every now and then there is an error. If I send a project back to you that is done wrong or even not what you expected, please communicate that fact with me. If you don’t tell me, there is nothing I can do to help! If the error was on my side, I am more than happy to fix it without any charge to you. If there was an error in communication, then it is much better to know so that we can work on a better method going forward. I am open to any feedback you have, so don’t be afraid to let me know how you are feeling about working together!
