MOCA is rebranding at last! This has been in the works for a long time and we are super excited about it. We have always tried to be more than just a Virtual Assistant for you, and now we have the framework to support that.

Coming very soon you will see a new logo and a new website, along with those pesky necessary changes, like an email address switch to match the new brand. But what we are most excited to share with you is the mission behind our branding:

We are pursuing intentional entrepreneurship, and we want to help you do the same. We aim to move away from stress, urgency, and endless work hours and move towards passion, mindful decisions, and self-care. We are here to provide the strategy, support, and accountability that you need so that you have room for a balanced lifestyle alongside a business that meets your definition of success.

Relationship-Focused Services

MOCA has grown, but we have refused to let that impact the services that we extend to our clients. We take pride in the fact that we are relationship-focused. We are here to be your advocate and your support. We are here to cheer you on and celebrate your successes. We value our relationship with you and hope to become a part of your team rather than someone you simply hand things off to here and there.

Because of this relationship-based mentality, we want you to feel like you know us as well as we know you. Your manager, known as a “Connector,” is your touchpoint in the business who intends to become an expert in everything YOU. Now they’re even more accessible to you. Your Connector will now be available for monthly check-in calls as you schedule them.

Your Connector is part of a “Connector Circle” – meaning three Connectors that are cross-trained on each other’s clients. If your Connector ever goes on vacation or is sick for a day, you have someone ready to take over who already knows you and is up to date on all of your projects, so you’re always taken care of.


Team Support

The growth of our team has opened up a lot of possibilities for the business. We have more capacity, a larger range of expertise than ever before, and an internal team structure that ensures that the tasks we take on are always handled with care. Here’s how it works:

You send us a project.

Your Connector examines similar projects that we’ve done for clients in the past. As they add your project into our backend project management system, they include any tips or ideas that they have gathered from past experiences and our own expertise.

Your project is assigned to a Creator with the specific skillsets that are required. We pick the person we know will do the best job.

When the Creator submits the project, it goes to an Editor for review. They check for typos and any major issues before passing the project back to your Connector.

Then your Connector reviews the project to check that the results fit your voice and your goals, and the project is sent back to you.

This internal structure is why we have the minimum 2-4 day turnaround time — to make sure that every project can go through this process and we can ensure that a different set of eyes look over the work and fine-tune it to your specifications. We want to produce quality work that is exactly what you’re looking for, so we take our time with each project that comes our way.

We do understand that there are emergencies. If something is broken and you need to get in touch with us right away, we are here for you! You can fill out our Urgent Request form for the “something is broken and my event is starting RIGHT NOW” moments.


Mindful Delegation 

We receive projects through email or through our Project Submission form. The reason it’s helpful for us to receive projects through the Project Submission Form is that the form outlines everything that we need from you in order to complete the project. If you prefer to email us projects instead that’s fine, just make sure that everything we will need is included. Projects will often be held up because not all of the information is provided.

Your project instructions should have the following:

Description
It’s helpful for us to have a big picture view of what the project is to start with and what you expect to get in return. If you’d like us to look for podcasts who may be accepting guest interviews, let us know how many you’d like to get on the list in the hour that we spend searching. Anything that you can include about what you’re trying to achieve or what you’d like to get out of it will help us set up the project.

Estimated Time
It’s always helpful to know how much time you want us to spend on a project. It’s okay if you don’t know, but if you don’t want more than X number of hours used on a project, be sure to communicate that to us.

Logins
Please make sure we have all of the log-ins that we need in order to complete the project and verify that the login information is correct to save time! If the log-ins are not correct, the project will be held up.

Resources and Examples
Please include links or attachments for any resources that we need to refer to in order to complete the project. Also, it’s very helpful to see examples of what you would like done, if applicable.

Date
If there is a certain date that you need the project done by, please let us know. Keep in mind that all projects we complete will take at least 2-4 days to complete as we don’t do urgent work. If we can’t accommodate your timeframe, we will let you know as soon as possible.

It’s important to remember:

  • If we don’t have all of the information for your project, the timing is delayed. We may not know until we are partway through the project, so be sure to think through what we might need, test log-in information, etc.
  • If we do revision rounds of a project, we process that as a new project as far as a timeline goes. With each round of revisions, the project still has to go through our team structure – assigned to a Creator, checked by an Editor, and checked by your Connector before it goes back to you. That means that if you say “please change this and this” it’s still a minimum of 2-4 days before the project will be returned to you with the edits. That’s why it’s best to think through your project before you hand it off to us.

Customized Strategies 

Jess has freed up her time so that she can be available for one-on-one strategy sessions with you. She wants to tackle the big, daunting tasks with you from the beginning because that’s what she loves doing!

Strategy sessions will be rolling out shortly. These will be focused, one-on-one sessions with Jess that result in a thorough, customized strategy that fits your goals, your business, and your budget. The strategy sessions will cost $250 and include topics such as client care systems, book launch plans, course development, social media plans, and more.
